We could talk for hours about all the ways Trainual can help you streamline your business operations and make scalable growth a reality — but sometimes, it helps to get another perspective.

As the team behind Trainual, we can be a little biased. But we’re not the only champions of Trainual — our customers are, too.

There are tens of thousands of businesses who have used Trainual to document their processes, train their employees, and reach new heights of success. More than a few have even been kind enough to share their customer stories. We’re always humbled by the trust they have in our team and the product, and we’re inspired by all the ways they’re using Trainual to reach their goals and build businesses that will stand the test of time.

That’s why at this year’s Insider Summit, our annual customer conference, we invited three customers — from the financial services, trucking, and childcare industries — who have taken advantage of everything Trainual has to offer to organize their businesses and aim for serious growth. They covered the importance of documentation, their favorite features, and how other customers should utilize their accounts for tangible results.

With different industries and company sizes, their advice is useful for any business looking for ways to organize themselves and focus on growth. Find out how these Trainual customers have taken advantage of the product to transform and grow their businesses.

How Advisors Excel uses Trainual to create the ‘hero model’

Advisors Excel (AE) is a financial marketing organization that helps financial advisors create solid businesses to best serve their clients. The business helps advisors navigate the contracting, licensing, commissions, and training involved in building their own businesses.

Serving over 2K financial advisors, the business is constantly looking for new ways to help. At a conference they put on a few years ago, AE asked their customers what their top pain points were. The most common responses? Onboarding, training, accountability and reporting.

So, AE instituted Trainual. They hired an independent consultant to set up a “hero model” for their advisors, which contains the company info (with an introduction on how to use Trainual), workflows, processes, and policies any office would need. Now, whenever a new advisor signs up for Trainual, they have all that information ready for them within the product.

“Trainual itself is a ‘hero model,’” shared Diane Adams of Advisors Excel. “When you have 300 templates that you can choose from, you start there. Leaning into that, we asked, ‘What do we do every day that we know every single one of these advisor offices does?’”

Plus, AE also uses Trainual for their internal advisors training — that way, an advisor’s account becomes a one-stop shop for all their onboarding into AE, along with a comprehensive playbook that they can institute at their own business.

“Once you’ve leveraged [Trainual] for one thing, the uses are endless.”

Setting expectations and accountability with Trainual

As a consulting firm for the trucking industry, Innovative Logistics Group LLC helps carriers develop the processes and systems to be successful. Founder Adam Wingfield helps these new entrepreneurs set up for operational success — something that’s crucial in an industry with an incredibly high failure rate.

For Adam, documentation is incredibly important in the trucking industry. “One of the main reasons a lot of companies fail is because they don’t have repeatable processes documented, so they don’t follow those repeatable processes,” he explained.

But what he especially loves about Trainual is the accountability aspect. Because every Subject has an owner, you know exactly who is responsible for keeping the process or policy up-to-date — and it reduces the chaos of wondering who’s accountable for what in the business (especially in an industry where chaos is common and regulations are pretty strict).

Plus, with Trainual’s e-signature feature, business owners can pull some liability back in case any incidents happen down (or on) the road. By asking employees to sign after reading certain policies, that confirmation can protect the business and put responsibility on the employee to pay more attention to their training.

“What I love about Trainual is that it sets expectations at the beginning. There are so many things you need to know when you get behind the wheel of a truck, and if you don’t set those expectations in the beginning, they become assumptions.”

Adam’s tips on what to prioritize in Trainual

Documentation can feel like an especially heavy burden if the goal is to document everything right now. But that doesn’t have to be the case — according to Adam, if you can document one to five things that will have the most impact on your business, start there.

“The most important thing is to start the documentation process,” said Adam. “In the beginning, I overwhelmed myself wanting to document everything, leading to analysis paralysis. Focus on what 80% of the company needs, and everything else comes into play.”

Building consistency across multiple locations with Trainual

Almost exactly ten years ago, Rob Rubicco and his wife Christina started their daycare company Anna and Jack’s Treehouse in their basement with four employees and 12 kids. Now, they’ve got 146 people with over 300 kids across three locations (with two more on the way).

Before Trainual (B.T.), Rob and Christina were already working with two locations, and they were having lead teachers training the new staff on their company’s way of doing things. However, they were losing a good number of employees, but couldn’t figure out why. That is, until one of their families moved locations and confronted the two founders with an alarming fact: The care wasn’t the same at both locations.

That alert pushed Rob and Christina to focus on consistency and push for training that was the same everywhere. “That was a big moment for us,” Rob shared. “We knew we needed everyone on the same page, doing the same thing, and speaking the same language.”

And while Rob had found Trainual to help them provide that consistent training, he put off the implementation for a year because he was overwhelmed by everything they needed to document. But with the help of one of our certified consultants, they were able to get their Trainual account up and running to onboard their growing team.

And now that they don’t have to worry about the training aspect of their business, the founders can focus on scaling further — they’ve even got two more locations on the way. Plus, they’re already thinking about how they can utilize Trainual to onboard the new families joining their daycare locations.

“You’re an entrepreneur, you’re a risk taker, so don’t be scared to start [Trainual]. We could never do things any other way. You’re gonna look back in six months and wonder how you ever worked without it.”

Rob’s tricks on starting Trainual

If you’re worried about the amount of stuff you need to document or move into Trainual, think of hiring a consultant who already knows what Trainual’s all about.

Plus, when you’re documenting a process or policy for the first time, get your team involved. “When you think you’re almost done with your Trainual, have some of your key people go through it and give you honest feedback,” shared Rob.

This is especially helpful if you have senior employees who have been with your company for a while. If you can get their buy-in to use Trainual and onboard new employees, the rest of your team will find it easier to adopt as well.

So, whether you’re looking to introduce consistency, accountability, or structure to your business, Trainual can become your greatest resource. With its ability to train your team, organize your processes, and become the knowledge base of your business, Trainual can help you build sustainable and scalable workflows that will grow with your company. And you don’t have to take our word for it — the proof’s in the pudding.
